GTD is a system, introduced by David Allen for organizing our tasks, priorities, and schedule to make our day manageable. The GTD rests on the idea of moving planned tasks and projects out of the mind by recording them externally, and then breaking them into actionable work items. This would allow you to focus by your attention on taking action on tasks, instead of on recalling them.

Applying the concept

There are five basic steps to follow:

1. Capture: Move all the personal and professional tasks out of your mind, and put them on a ‘to-do’ list, using a legal pad, an app, a day planner, or a spreadsheet.
2. Clarify: Process what we have put on a “to-do” list. Take everything that we capture and ask: “Is it actionable?” If “No”, then trash it, or file it as reference. If “Yes”, decide the very next action required.
3. Organize: Categorize and prioritize. First decide what needs to get done first. Then figure out which tasks should go together so they're more efficiently accomplished, or what task drives the most value.
4. Reflect: Priorities change, and they might change often. You can easily do some tasks right away even if they're not super important. Some tasks won't seem as clear as they should; take the time to break that task down into smaller action steps. Reflection should occur on a regular basis, partly to trust your choices about what to do next and revise your list and look for ways to improve your system. Do a weekly review to get clear, get current, and get creative.
5. Engage: Tackle your list to take appropriate actions with confidence. The goal isn't to work on an item, but to complete an item.
